As a CIO, you address many fundamental issues, but on a day-to-day basis, what are your struggles, your difficulties, your irritants?
Asmodee is a fast-growing group. Logically, this translates on the CIO side into high stakes for the build and delivery of Projects. Our day-to-day challenge is to ensure the right balance between cost, deadline and quality.
As we have a huge number of projects running simultaneously, we need to have a clear overview of all of them, which means centralizing our sources of information: Budgets, invoicing, progress on each project. Added to this is our multi-entity environment, which means we need to be able to manage cross-referencing and, in particular, re-invoicing by company.
And as a corollary to this strong Projects orientation, we manage a large volume of invoices – over a hundred a month. Before Abraxio, we had to keep track of them and allocate them as best we could in Excel, which was a bit of a nightmare.
Why Abraxio?
I joined BERT&You at the end of 2015, and as early as 2017, a global Roadmap for the overhaul of the IS was drawn up. In 2021, we launched an ambitious Program todigitize our transport activities. This Program, christened TED, which included three business projects led by pooled Resources within the CIO, represented a considerable challenge in terms of planning and meeting Budgets. It also offered an opportunity to break down the CIO’s silos, promote internal marketing and explain our activities in an educational way.
To establish the Program’s credibility, we needed a governance solution capable of meeting these challenges and eliminating the irritants mentioned above. Abraxio provided concrete answers to help us meet the challenge, notably by improving Project portfolio management, simplifying budget steering and facilitating the decompartmentalization of the CIO through calibrated and harmonized reporting.
So what do you do with the platform?
We’re gradually ramping up our use of the solution. Personally, I’ve been using Abraxio since 2020. I chose to carry out aninitial exercise on my own to get to grips with the tool, and then I opened it up to all my division managers; I’ve noticed that their adaptation and learning curve has been extremely easy and didactic.
The big advantage is that I’ve been able to delegate the CIO’s administrative steering to each of my managers. All this budget management – including tracking invoices and orders – is essential, but relatively time-consuming. Thanks to Abraxio, it’s shared, each within his own area of responsibility, so the time spent on it is divided between everyone. And it’s all done in a single tool, enabling real-time consolidation.
In recent months, Abraxio has been deployed throughout the CIO, with around thirty subscriptions. We make great use of the “Time sheet” section : given the number of our internal and external collaborators, and our multi-project and multi-entity organization, we need to be able to track at least the Budgets and time spent on each project, and the amount consumed in euros and days. This not only facilitates internal Chargebacks, but above all makes it easier to structure and access KPIs for each project.
And we also use the platform as an EDM, to centralize contracts, invoices and purchase orders. And exporting is so easy.
If you had to remember 3 benefits of Abraxio?
1st benefit , time savings: Abraxio is a real facilitator. The whole administrative, financial and cross-functional management of the CIO, which can be quite tedious, is simplified.
The2nd benefit is the ease and speed of access to information. Abraxio provides a centralized database, a common repository with all elements of invoicing, purchase orders, contracts, document management, etc. that anyone can access. It may seem basic today, but the fact that all data can be accessed at any time from anywhere in the world in Saas mode, with a simple login/password, is a real joy.
And last but not least, the real benefit in terms of management of being able to benefit from instant tracking of all KPIs: whether they’re consumed, invoiced, committed or still to be ordered, the information is up to date, shared and collaborative, and that really changes your life.
You too can manage your CIO easily and efficiently
